Washington University of St. Louis Practice Office Manager (O'Fallon, MO) - Orthopaedic Surgery - 49276 in St. Louis, Missouri

This position is full-time and works approximately 40 hours per week.

Department Name/Job Location

This position is in the Department of Orthopaedic Surgery. The position is located in O'Fallon, MO. Local travel to satellite office will be necessary.

Essential Functions


Position directs the activities of the clinical office, supervises, coordinates and provides leadership functions for orthotech services, clerical staff, patient service representatives, medical assistants and nurses in conjunction with the Nursing Administrator. Oversees personnel matters, maintains reports and acts as liaison between practice site and division business staff. Responsible for maintaining optimal staffing practices.


  1. Coordinates patient services with physicians and staff to provide quality care in an effective manner.
  2. Supervises activities of the clinical office. Reviews, assists, promotes and maintains development of office policies and procedures, office practices, and clinical flow patterns.
  3. Directs, assigns and coordinates activities and duties of staff, evaluating performance, orienting new staff, and advising administration of changes.
  4. Maintains job descriptions for staff. Responsible for interviewing, hiring employees, acts to resolve personnel problems, and prepares and approves staff schedules. Provides staff with feedback including conducting annual reviews.
  5. Assists in preparation and distribution of monthly reports such as patient appointment data, financial reports, census, flow analysis and other requested reports.
  6. Assists with establishing and monitoring clinical budgets to ensure financial goals are obtained.
  7. Conducts regularly scheduled staff meetings and practice site division meetings as requested.
  8. Promotes and maintains good public relations with patients/families, vendors and staff.
  9. Maintains and updates physician, staff and site schedules.
  10. Facilitates educational opportunities for staff to ensure compliance with hospital, medical school and regulatory guidelines.
  11. Responsible for monitoring supplies and equipment, ordering/repairing as required.
  12. Responsible for preparing and participating in employee health and safety clinical inspections.
  13. Assists Nursing Administrator with strategic planning and generation of business plan.
  14. Assists Nursing Administrator with overall quality improvement strategy; collects, measures and interprets operational and clinical data: identifying problems and organizing teams to develop and implement solutions; develops formal policy as indicated.
  15. Functions as working supervisor by filling in to cover for staff including front desk, medical assistants, orthopedic technicians and clinical operations.

Required Qualifications

  • Equivalent of a Bachelor’s degree.
  • Minimum of two years physician practice management experience.

Preferred Qualifications

  • Experienced in orthopedic practice functions including casting and durable medical equipment.
  • Knowledge with DMEPOS and Medicare billing regulations.
  • Working knowledge of physician practice.
  • Demonstrated communication, organization, leadership and interpersonal skills.

Salary Range

The hiring range for this position is $62,067 - $79,144 annually.

Applicant Special Instructions

JOB LOCATION/WORKING CONDITIONS: Normal clinical office setting with some exposure to infectious materials. Moving, lifting and transferring patients. Considerable walking and standing.
