This position is in the Department of Internal Medicine, General Clinical Practice. The position is located at 4511 Forest Park Ave. This position is for the Medical School Campus.

Essential Functions

POSITION SUMMARY:

Position is responsible for managing and directing all the financial affairs of the Department of Medicine and its 30 divisions, including general accounting, budget preparation, financial reporting, variance analysis, financial planning, revenue-expense modeling, practice management reporting and financial management systems. The position serves as a member of the senior leadership team of the department, working closely with the Executive Director and Chair. Supervises a team of Financial Managers, Business Analyst and support staff who provide direct support to the Divisions as well as being responsible for Department-level projects such as budget, monthly & fiscal closing activities.

PRIMARY DUTIES AND RESPONSIBILITIES:

Essential Functions:

  1. In conjunction with the Executive Director, develops, implements and maintains appropriate fiscal policies and procedures for the Department.
  2. Provides direct oversight of all financial aspects of the Department.
  3. Interfaces with the Medical School’s finance team regarding annual budget, fiscal year closing, A/R valuation, Dean’s Fund Allocation, contingent funds, Fee-for-Service accounting, central charges and Dean’s tax.
  4. Ensures that all divisions have appropriate and ongoing financial support, training, assignment of security for various financial and reporting systems.

*Financial Management (4045%) *

  1. Manages general operating funds such as clinical practice funds, reimbursement contracts and professional allowance funds; and specific funds such as gifts, endowments, clinical trials and other discretionary funds.
  2. Oversees the general accounting activities of the Department working with the Medical School Finance Office and University’s General Accounting Office.
  3. Oversees and monitors all Divisional operating and non-operating budgets and related transactions including budget adjustments, journal entries and disbursements through WU’s Financial Information System (FIS).
  4. Oversees all monthly, quarterly and fiscal year-end closing activities in coordination with Medical School finance office and General Accounting office.
  5. Oversees the preparation of various financial reports on a periodic (monthly, quarterly, annual) basis as necessary and/or requested. These reports would include but not limited to: Operating Statements, Sources and Uses of Funds, Reserve Analysis, Closing Statements.
  6. Critically evaluate Departmental revenue and expenses, overseeing preparation of critical analyses between actual and budgeted revenue and expenses. Prepare executive summaries of various items for Chair and Executive Director on regular basis.
  7. Continuously evaluates existing procedures and recording of financial transactions in compliance with WU guidelines and to improve efficiency and accuracy.
  8. Provide support to the Division Administrators on complex issues such as effort reporting, contracts, financial pro forma.

Budgeting (15%20%)

  1. Oversees the annual budget process. Coordinates staff assignments to ensure completion of the budget within prescribed parameters and time frames.
  2. Works closely with the Division Administrators and Division Chiefs to assist them in meeting budget targets, formulating strategies and plans to address negative variances and improve financial performance of the Divisions.
  3. Oversees financial analysts in preparation and presentation of the operating budgets to the Chair and Executive Director as well as Medical School’s Finance Office and the Dean’s Office.

Financial Analysis and Cost Accounting (15%20%)

  1. Oversees the preparation of various cost accounting analyses as requested. Develops and maintains models and templates to assist in financial management of the Department.
  2. Directs preparation of complex, non-routine financial reports, analyses and studies of Departmental activities.
  3. Oversees various financial aspects of on-site and off-site clinical practices, cost-benefit analyses of providers, programs and divisional practices.
  4. Oversees preparation of financial pro forma for new and expanding clinical practices.

Planning (10%15%)

  1. Assists the Executive Director with planning activities of the Department, including Strategic Plan for the Dean’s office.
  2. Works with financial analysts in developing forecasting techniques to project financial performance of the Department and Divisions on periodic basis. Also provides the Dean’s office with the estimate of sources and uses of funds of the Department on all-funds basis.

Special Projects (10%)

  1. Completes various special projects as directed by the Executive Director and/or Chair.
  2. Conducts weekly review meetings with the Executive Director and the financial analysts.
  3. Hiring and training of financial analysts as needed.

Required Qualifications

  • Bachelor’s degree in accounting, finance or related field.
  • At least seven years’ experience in a financial, accounting, budgeting, auditing, or planning function with minimum of five years supervising three or more personnel.

Preferred Qualifications

  • Master’s degree and CPA/CMA.
  • Experience in academic or healthcare institution.
  • Knowledge of Workday software.
  • Excellent oral and written communication skills, including ability to establish effective working relationships at upper and lower levels of authority.
  • A high degree of professionalism and competence in dealing with variety of individuals including Division Administrators, Division Chiefs, faculty, staff, senior university officials and executives.
  • Demonstrates understanding of generally accepted account principles, not-for-profit entities and particularly institutions of higher learning.
  • Ability to analyze and resolve highly difficult problems, to integrate information from multiple sources, to utilize creative thinking and to exercise considerable judgment and resourcefulness.
  • Possess strong interpersonal, communication, organization, management and supervisory skills. Position requires diplomacy and confidentiality due to highly sensitive information utilized or accessed.
  • Supervisory and management skills to effectively direct staff.
  • Demonstrated record of leadership ability and professional accomplishment.
  • Experience in an automated/integrated data processing environment, computer and network literacy.

Salary Range

The hiring range for this position is $104,457 - $138,403 annually.
