Burns & McDonnell Department Assistant - Corporate Services (Kansas City) in Kansas City, Missouri

Description

The Department Assistant is responsible for performing general administrative activities of the group and supporting the client driven backgrounds and screening day to day activities of Burns & McDonnell. This position reports to the Travel Supervisor and is responsible for office support to the Corporate Security and Travel department. As an active member of the Corporate Security and Travel Team, the Department Assistant will serve as one of the direct liaison points of providing service to our internal and external clients.

Typical travel, background and screening, and general Corporate Security operations activities include but are not limited to conducting background investigations and coordinating site specific training needs and drug screening requirements in numerous web based applications, assistance in access control requirements for Burns & McDonnell global facilities and controlled spaces, interface with contracted security guard force operations, and supporting internal clients with special events as needed.

As requested by the Facility Security Officer and/or the Project Backgrounds and Screening Supervisor this person will support federal compliance regulations and potentially serve to back up to the Industrial Security Coordinator.

Duties may include:

  • Answer phones and direct calls;

  • Type memos, correspondence, reports, and other documents;

  • Prepare outgoing mailings and labels, including emails and faxes;

  • Organize and maintain filing system;

  • Coordinate client or vendor lunches, including set-up and clean-up;

  • Coordinate with internal support departments;

  • Keep the department calendar and roster;

  • Help coordinate clerical needs of special projects;

  • Internal client security support for meetings, seminars, and large public and private events;

  • Support accounts payable through the coding of background and screening provider invoices;

  • Collect bills/invoices, reconciling corporate AMX monthly statements, organizing Amex applications;

  • Supporting travel in user profile updates and management of nonrefundable tickets;

  • Coordinating with internal clients to meet/identify long term housing needs;

  • Maintains policy guideline accuracy across intranet sites of the BMCD family of companies;

  • Support with researching, implementing, and maintaining employee‐owner compliance to existing and new local, state, and federal security regulations;

  • Liaison with companies providing background and screening services to support unique client needs;

  • Support licensing and/or background check required fingerprinting process, as needed;

  • Gather, input, and review the results for compliance of background and/or screening activities;

  • As requested, assist the Director of Security and Travel/Facility Security Officer with compliance to NISPOM/DoD/DoS/DoE compliance activities.

Additional duties as assigned by supervisor to assist in the overall success of the group and company.

Qualifications

  • High School Diploma or equivalent.

  • Minimum two years office/clerical, travel or corporate security environment, military service, etc. or a combination of the above. Some college coursework preferred in business or criminal justice.

  • Must be proficient in Microsoft Word and Excel, familiarity with other Microsoft office applications is desirable.

  • Excellent organization skills, attention to detail, written and communication skills and ability to handle multiple tasks.

  • Familiarization with the use of web applications

  • Familiarization and experience in the safe handling and disposal of PII

  • The ability to obtain a Top Secret US Government security clearance
