Sr Mgr Conventions


The primary responsibilities of this role, Senior Manager Conventions, are to:

  • Lead activities on behalf of the US Conventions Team of the third department personnel relating to the development and implementation of company conventions and tradeshows and related activities within established budgets as directed by manager;

  • Ensure deadlines are met and quality of work meets the department and client’s standards;

  • Liaise with Sales, Marketing and Medical Departments to define convention plans consistent with the related business strategies;

  • Participate actively in the reconciliation of expenditures and budget management;

  • Delegate assignments to third party supplier as required supporting franchise/divisional convention management;

  • Review convention related contracts for exhibit space, housing and third-party suppliers to ensure best price and most favorable terms have been obtained;

  • Review contractual terms to ensure penalties have been negotiated according to department and corporate standards;

  • Identify opportunities to improve convention costs, quality, work methods and procedures to maximize efficiencies within the department;

  • Be part of an RFP departmental and stakeholder team in conjunction with Procurement following the Company’s procurement policies and guidelines;

  • Ensure all members of the convention team at the third-party agency are adhering to HCC and Company policies and industry and association regulations;

  • Adhere to all company spend caps and HCC convention requirements;

  • Develop communication plans to link Product Management, Sales Management, Medical Affairs, PRT, exhibit supplier(s) and Conventions in order to reach company objectives for convention plans;

  • Work with Finance and internal clients to develop financial strategies to ensure cost-effective convention and tradeshow budgets, relate budget items to convention objectives and monitors and adjust as required;

  • Assist in candidate interviewing as well as training and development personnel when assigned;

  • Observe and evaluate third party agency Convention Managers/Account;

  • Manager on-site performance, provide feedback, problem solve, solicit feedback from internal clients and make recommendations based on feedback and observations;

  • Assume additional responsibilities as assigned by Department Director. Maintains confidentiality in all phases of responsibility;

  • Supervise project teams of third-party convention planners in the planning and execution of regional and national U.S. conventions;

  • Train staff in handling increasingly diverse responsibilities at U.S. conventions on behalf of Bayer;

  • Manage relationships with a wide range of internal management levels and medical/device associations, physician audiences, opinion leaders, vendors/suppliers and unionized and nonunionized laborers.

Required Qualifications:

  • Bachelor’s degree with at least seven years of convention management experience including at least five years in the healthcare industry;

  • Incumbent must independently resolve complex problems that pose obstacles to the achievement of established objectives;

  • Resolve or guide third party suppliers toward resolving unique problems that may arise to achieve convention objectives;

  • Be responsible for solving problems relating to the daily activities of their convention related activities including procedures, project assignments and scheduling of staff;

  • Sound judgment is critical and creativity is essential in dealing with technical and non-technical issues;

  • Must be able to develop contingency plans and manage multiple projects with similar timelines;

  • Have an understanding and the experience dealing with the complexities involved in the planning, negotiating and execution of pharmaceutical/device conventions/tradeshows and related activities;

  • Be able to manage third party suppliers and make recommendations concerning procedures to ensure that work objectives are met;

  • Be familiar with the development of division/franchise convention schedules with excellent project management skills;

  • Computer literacy and proficiency in a variety of software applications are necessary such as Cvent;

  • At least 40% travel.

Preferred Qualifications:

  • At least three years supervising project teams or a minimum of 11 years convention management experience including a minimum of five years in the healthcare industry and a minimum of three years supervising project teams without a Bachelor's degree.
